Office 365 (Microsoft 365) native solution offers limited options for modern email signatures wherein it is not handy to create dynamic signatures that can automatically pull the Active Directory details. Sigsync syncs the Active Directory changes once every 24 hours. So, any latest changes associated with your Active Directory may not reflect in your email signature immediately. If you want to force the sync to update the latest changes, you need to Sync the AD Changes in Sigsync 'Settings' page as shown in the screenshot below.

Server side mode signatures

In server side-mode your email signatures are processed on server side (on fly). Hence, your local Sent Item folder may not contain the signatures which are processed on the server side.

Following are the possible scenarios:

Case 1. Signatures enabled to a specific active directory group(s)

If you have configured signatures only to a specific Group(s) of your Office 365 Active Directory. And the new users are not part of your signature group(s) then the signatures for the new users will not appear. To resolve this issue, move the new users to the group for which you have enabled Sigsync signatures or add this new group which has new users to the Sigsync signature list.

Yes, with Sigsync, you can easily configure distinct signatures for a Shared Mailbox depending on the sender. However, to achieve this, the following steps need to be followed:

• Step 1: To set up signatures for Shared Mailboxes, click here for the details. This step ensures that Shared Mailboxes function similar to the user mailboxes by enabling Active Directory properties. That’s by default, Shared mailboxes do not have an Active Directory (AD) profile. Also, it is essential to set delegate permissions (e.g., 'Send as' or 'Send on Behalf') for Shared Mailboxes.

An MX (mail exchange) record is an entry in your DNS zone file which indicates a mail server to manage a domain's email. If any domain is missing MX record updates in the mail server, it must be updated to send email to that domain.

1. Sign in to the Exchange admin center in Office 365.

As Sigsync syncs the Active Directory changes once every 24 hours, there may be chances that the profile images are not synced with Sigsync. So, if you want to force the sync to get the latest changes, Sync AD Changes in Sigsync 'Settings'.

Sigsync internally generates HTML / CSS code for your signature. The problem with the round images (border-radius) is that Outlook has its own way of understanding and parsing HTML and CSS code. Whatever the code changes you apply, Outlook will not let you display rounded images with the border-radius method. The border-radius CSS attribute is completely ignored by Outlook and the image is displayed as original image that you have set. Therefore, you are left with following two ways to manage this.

You can manage image border radius using below methods:

1. Create circular images or rounded-corners pictures and update your AD profile images. This will display the same way in every email client, including Outlook. Set transparency to the images edit and to save the file in the .PNG format. Otherwise, your rounded images may not look good in Outlook’s dark mode, or on any other kind of background in your email signatures.

2. Knowing that Outlook will keep your image rectangular (original image shape) in signature, you can continue using the border-radius method for other email clients where it works without any issues.

Yes. You can set two different signatures for an individual sender by creating two rules with the Keywords based condition and set two different signatures accordingly. You need to include the same keywords in the email while composing as you set the keyword condition in the Sigsync signature rules.

Yes. You can avoid adding signatures to a specific receiver using Sigsync.

Follow the below steps to restrict the email signature to a specific receiver:

1. Select ‘Signature Rules’ < ‘Recipients’ tab from dashboard and then click the Edit button in the 'Email addresses or Domain' check box under 'Do not add signature - based on Recipients'.

   

2. Enter the Recipient Email Address and click the Add to list button. 'Save' the changes and Save the rule.

Sigsync 'ProfilePhoto' drag and drop editor component automatically retrieves photos from Office 365 Azure Active Directory. Additionally, you have the option to insert a static photo using the 'Image' component.

Log in to Outlook on the web (OWA) access and verify the Sent Items folder directly on the server. If the signature for sent items is appearing in OWA, then the Sigsync service is working properly and the problem is in your email client.

If you use Microsoft Outlook, emails in your Sent Items folder might not always be refreshed and displayed correctly due to Outlook's default behavior in the Cached Exchange mode. Click here to know the possible resolution for this problem.

The license usage count display will appear only when you send email to your recipients.

For instance: You have purchased 100 user licenses and started sending emails from 10 users. Now if you check the license usage, it will display count as 10.

The license usage count is calculated on a monthly basis according to your license activation date. At the end of every billing cycle, this count will become zero.

Follow the below steps to pause the Sigsync signature service. Note that this will not pause the subscription period.

1. Login to Office 365 Admin Center.
2. Navigate to the 'Exchange' tab

   

3. Navigate to 'Mail flow' > 'Rules'. Now, select the 'Sigsync Routing Rules' and click the '   ' button as shown in the screenshot below.

   

4. Navigate to 'Mail flow' > 'connectors' tab. Then, select the 'Sigsync Outbound Connector' and delete by clicking the ' ' icon. Next Select 'Sigsync Inbound Connector', and delete it by clicking the ' ' icon

   

5. To resume Sigsync services, configure the connectors again.

This method is applicable for server side mode signature.

Select the senders in the 'Do not add signature - based on senders' section in the ‘Signature Rules’ to exclude the signatures for specific users

Follow the steps below to exclude specific users from adding signatures.

1. Click the ‘Senders’ tab under the ‘Signature Rules’ tab.

   

2. Click the ‘Edit’ button next to ‘Selected Senders’ under the ‘Do not add signature - based on Senders’ section.

   

3. Select the required senders to whom you want to exclude the signatures and click the ‘Save’ button to save the changes.

   

By default, Sigsync does not process secure emails and signatures are not attached. However, you can send the secure message as an attachment to the new email and add a signature.

Yes, you can disable the rule in 'Signature Rules' to avoid signatures being attached for specific rule and enable when you wish to add a signature again.

Sigsync allows you to insert individual Active Directory fields or groups of fields into your signature.

Follow the steps below to add an Active Directory field to your signature template:

1. Drag and drop the ‘AD Fields’ component into the design pane.

   

2. Select the Azure AD field of your choice in the ‘Insert AD Placeholder’ window and click the ‘Apply’ button.

   

Only one Active Directory field can be selected at a time.

Additionally, you can drag and drop a group of Address,  Contact  and Personal fields. This allows you to add multiple Active Directory fields at a time, either in a single row or across multiple rows.

Yes, follow the below steps to disable a rule.

Step 1: From Sigsync Dashboard, select the 'Signature Rules' tab.

Step 2: Change the Signature rule status to 'Inactive' and click the 'Save Changes'.

Yes, If you delete a signature rule, it will not delete the signature template. You can assign the same template to another rule.

By default, Sigsync does not process secure emails and signatures are not attached. However, you can send the secure message as an attachment to the new email and add a signature.

Sigsync provides a 'Display / Hide' property that automatically removes the selected Label / Phrase / Node along with that row from the signature when the particular Active Directory value is not set or empty to avoid line gap in the signature.

In the case of server side mode signatures, an admin can create and assign full access admin roles to an individual user to give access to the dashboard and modify the signature template. Before modifying make sure to create a separate rule for an individual user and assign the separate template to that rule.

Follow the steps below to set up signature for ‘Automatic replies’:

1. Log in to the Exchange admin center in Office 365
2. Navigate to the ‘Mail Flow’ tab in the left side panel and click the ‘Rules’ tab.

   

3. Click the 'Sigsync Routing Rules*****' entry.

   

4. Click the ‘Edit rule conditions’ in the rules window

By default, in client side signature mode (Outlook add-in) there is no way to find your email reply chain that already has a signature template attached to it as it always returns status as ‘reply’ email. Hence, Sigsync will automatically add the subsequent email signature template to your first reply as it is considered as a subsequent email even though you are replying for the first time. If you want a different signature for the first reply, we recommend you to select the first signature manually by clicking the 'Add This Signature' button from the Sigsync Signatures Add-in pane as shown in the below screenshot. For the subsequent emails, Sigsync Outlook Add-in will add the signature automatically.

Note: For Sigsync server side signature mode, there is no need to manage default signature manually. It will manage default and subsequent email signatures automatically.

By default, Sigsync will add User-A's signature when User-A sends an email on behalf of User-B with 'Send On Behalf' delegate permissions. However, if you want User-B's signature to be attached then follow one of the below methods.

Method 1 - Use 'Send As' permissions:

Use 'Send As' delegate permission rights instead of 'on behalf' for the User-A. That's assign 'Send As' Permission to User-A for User-B's mailbox. In this case, Sigsync will automatically add 'User-B's Signature when User-A sends an email with 'Send As' Permission to User-B.

Method 2 - Use 'Sigsync Signature Addin for Outlook':

Deploy 'Sigsync Signature Addin' for Outlook to select the required signature while composing an email using the Sigsync Addin.

To enable the 'Add This Signature' button, please follow these steps:

1. Log in to the Sigsync Dashboard.
2. Go to the 'Manage Signature' tab and click on the 'Settings' tab.

   

3. Under 'Settings', click on the 'Outlook Add-in' tab.
4. Uncheck the option 'Disable Add This Signature button to prevent users from adding a different signature in Sigsync Signature for Outlook Add-in panel.'

   

5. 'Save' the changes.

This is not a Sigsync issue. Email clients such as Outlook, Outlook Web Access (OWA), or Gmail handle images in signatures differently. That is, when the actual image used in the signature is large, the email client may be unable to display it directly within the email body. Consequently, the image is treated as an attachment rather than being shown as part of the email content. This issue is particularly noticeable in replies and forwarded emails. The recommended solution is to resize the original images according to the specified height and width in your signature templates for each image.

Yes. Sigsync automatically allows your Office 365 admins to access the Sigsync dashboard. That is, by default, all your Office 365 admins will have Tenant level admin rights in Sigsync. In addition, you can also add any other user as admin in Sigsync.

If you log in to the Sigsync dashboard within the Sigsync portal, your credentials are stored on the Sigsync server in an encrypted form. However, when you log in to the Sigsync dashboard using your Office 365 account, the credentials won't be stored on the Sigsync server, as the login process occurs directly through the Microsoft Sign In page.
