Sigsync in the server-side mode adds email signatures and disclaimers to outgoing emails based on the rules you define. The signature rules are highly customizable and can include specific conditions and exceptions, providing virtually limitless options for creating organization-wide signatures as well as personalized signatures for individual users or groups.
The best part is that even non-administrators can handle the email signature management, giving greater control to users throughout the organization.
If you would like to give your users complete freedom to directly add email signatures while composing an email, choose the client-side signature mode. This mode requires deploying Sigsync Signature Outlook Add-in and attaches email signatures in Outlook and OWA without routing it through Sigsync Azure servers.
Sigsync enables you to add email signatures based on :
- Email Sender: You can add or exclude signatures based on the sender's Azure AD properties, such as job title, office location, country and for specific sender groups, departments such as marketing, research, sales, finance and so on.
- Email Recipient: You can add or exclude signatures for specific recipients, Office 365 groups, specific domains (.de, .fr, .outlook.com, .gmail.com) and even use different signature templates for internal and external emails.
- Email Keywords: Sigsync lets you to define keywords in the signature rules that trigger or suppress a specific signature based on words or phrases found in the email subject or body. On applying the signature based on the user-defined keyword, Sigsync can automatically remove the keywords from sent emails.
Sigsync comes with a built-in scheduler that lets you specify when a particular rule should be active. You can create customized email signatures ahead of time and schedule them to go live at a specific date and time. With this feature, you have full control over when your signatures are displayed, such as holidays, product launches and marketing campaigns.
You can also use Sigsync in the mixed-mode to leverage the advantages of both the server-side and client-side signatures. You can choose a signature in Outlook when composing an email, while server-side signatures are automatically added to messages sent from other email clients and mobile devices. The mixed-mode option offers the best of both the server-side and client-side signatures, and meets the needs of centralized signature management.
